Your business could be losing money by ignoring this one step.
You receive an eTIMS invoice from a supplier.
You see the QR code.
You save the invoice.
You pay the supplier.
And you move on.
But here's the question:
Do you actually confirm that the invoice was successfully transmitted to KRA?
Because having an invoice in your files doesn't automatically mean the transaction is properly reflected in KRA's system.
And if the invoice can't be validated, your expense deduction could be put at risk.
The good news?
You can check it in about 60 seconds.
1️⃣ Scan the QR code
Use your phone camera or QR scanner to scan the code on the eTIMS invoice.
It should take you to KRA's verification page.
2️⃣ Check the details
Don't just check that the page opens.
Compare:
• Supplier name • Invoice number • Transaction date • Amount
Make sure they match the invoice you received.
3️⃣ Check the buyer PIN
This one is easy to overlook.
Make sure your PIN was captured correctly on the invoice.
If the supplier issued the invoice without the correct buyer details, don't assume everything is fine just because you have the receipt.
4️⃣ If the QR doesn't work, check the invoice number
Use KRA's iTax invoice checker and enter the CU Invoice Number shown on the invoice to check whether the invoice was transmitted.
And here's the habit I'd recommend to every trader:
Don't wait until you're filing your annual return to discover that some of your expenses can't be validated.
Check your invoices when you receive them.
Scan it.
Match it.
Confirm your PIN.
Then file it.
Because good bookkeeping isn't just about recording an expense.
It's about making sure that expense can still stand when someone asks you to prove it.
